**BigTime is professional services automation (PSA) software for firms that bill clients for project work.** It connects recorded time with project delivery and finance, giving consulting, engineering, accounting, and IT teams a way to follow client work through billing and project margins.

A simple timer starts feeling limited when different rates, approval steps, staffing decisions, and budget pressure all show up on the same job. BigTime is built for that extra layer of control, with Essentials starting at **$20 per user per month**. Teams mainly tracking hours and sending straightforward invoices use far less of the platform.

| Key Takeaways about BigTime 2026 Recorded time feeds the financial side of client engagements, so hours can contribute to invoicing, reporting, and margin analysis instead of ending as isolated timesheet data. Fit depends more on operating complexity than headcount. Small firms can still have a strong use case when client delivery involves custom rates or formal resource planning. Essentials starts at $20 per user per month. Higher tiers require a sales quote, and BigTime has no permanent free plan or free trial to test it beforehand; only a demo is available. Depth is the main trade-off. Firms that use advanced planning and financial controls get more from the platform; simpler service operations may end up paying for layers they barely touch. |

| How do we review software in TimeCamp? A human is behind every word posted here. We value our users’ time and trust, so you can be sure our team (Ola, Wojtek, Kasia, Iza, Robert, and others) spent real hours testing the apps, and then researching, briefing, and writing this article. Unfortunately, this explainer is based on BigTime’s marketing materials because it doesn’t allow you to set up a free account to test the tool beforehand. However, our editorial team has 10+ years of experience writing SaaS content, including testing and using a variety of tools daily. Our writers are also app users, so we write our recommendations based on what we would read as potential clients. Our main rule is “do not cover without a source.”We also revisit and update our articles to cover notable changes to the app’s features or pricing (at least quarterly). ## What is BigTime and who is it built for in 2026?

BigTime Software is PSA software that was founded in Chicago in 2002. Its product is aimed at firms that sell project-based expertise, including accounting practices, A&E companies, government contractors, IT services businesses, law firms, and agencies. **BigTime puts its customer base at more than 2,700 firms and annual billable time tracked at over $8 billion.**

BigTime’s product family says a lot about the type of operation it expects to handle. Resource Management adds **capacity planning** for firms that need to look beyond current assignments. BigTime Enterprise PSA goes further into multi-entity finance, where the financial structure behind client delivery gets considerably more involved.

### BigTime in 2026 at a glance

| Resource management | Capacity, staffing, utilization, skills, and forecasting |
| Billing and invoicing | Project billing, invoices, payments, rate management, and reconciliation |
| Approvals | One level on Essentials and Advanced; up to three on Premier |
| Platforms | Web, iOS, Android; API on Premier |
| Integrations | QuickBooks, HubSpot, Salesforce, Jira, Sage Intacct, Lacerte, and others depending on plan |
| AI | AI Assistant; Resource Management also includes AI-supported staffing recommendations |
| G2 rating | 4.4/5 from about 1,800 BigTime reviews |
| Capterra rating | 4.6/5 from 662 reviews |
| Best fit | Professional services firms with complex project economics, billing, approvals, or staffing needs |
| Potential overkill for | Teams mainly tracking hours and issuing straightforward invoices |

So who actually needs all of that? Company size is only part of the picture.

Current Capterra reviews include BigTime users **at firms with 2–10 employees**, which makes the usual “PSA equals large company” assumption pretty shaky. A ten-person consultancy juggling custom rates and several active engagements can have plenty of use for BigTime. A much larger business with a simple hours-to-invoice process may use far less of what the platform offers.

**That also fits the wider market: PSA platforms are widely used by consulting, engineering, and IT service firms, where client delivery tends to carry more financial and staffing complexity.**

## How does BigTime work in 2026?

| Important: Unfortunately, BigTime doesn’t offer free trials or free accounts to test the tool beforehand. That’s why I based my BigTime workflow description on details in their free demo and marketing materials. |
| --- |

BigTime keeps the operational and financial side of a project connected from setup through billing. **Hours and expenses are recorded against the work they belong to, so the numbers used by project managers don’t have to be rebuilt later by finance.**

1. **Set up the project.** Rates and billing rules are attached to the engagement before work starts. Staff assignments can live there too, giving each new time entry the context BigTime needs later.
2. **Plan who does the work.** BigTime Delivery covers the day-to-day project workflow. BigTime Resource Management adds capacity planning and scheduled hours, making staffing gaps easier to spot before they turn into delivery problems.
3. **Record actual work.** Employees log time against the relevant project or task using a timesheet or timer. Expenses follow the same project structure, so managers can compare what was planned with what the job is actually consuming.
4. **Approve the work and move it toward billing.** Submitted entries follow the company’s approval rules before they become part of an invoice. QuickBooks and other accounting integrations can then carry that project data into the finance workflow, which cuts down on manual reconciliation and gives finance a cleaner view of incoming cash flow.
5. **Watch what happens to the economics of the project.** Budget-versus-actual reporting shows when hours are disappearing faster than expected or scope creep is starting to change the margin impact of the work. **You get a chance to react before an otherwise profitable project quietly slips in the wrong direction.**

BigTime Delivery handles most of that flow. Other products extend it at specific points: BigTime Quotes covers early scoping, Services CPQ adds more structure before the project begins, and BigTime Enterprise PSA goes deeper into multi-entity finance. BigTime Resource Management sits alongside delivery when a firm needs more control over future capacity. Access depends on the plan and modules you buy.

## What does BigTime do well, and where does it fall short?

The positive pattern in BigTime reviews is practical. Users like entering time and then seeing that work stay connected to the project records used for billing and financial tracking, with less digging through separate systems along the way. Jennifer H., a Realtor Associate reviewing BigTime on Capterra on July 20, 2026, summed up the appeal neatly: **“everything can be managed centrally.”** QuickBooks integration also fits naturally into that workflow, and support was another recurring positive theme in the review sample.

![a screenshot of overview of bigtime reviews from capterra](https://www.timecamp.com/blog/wp-content/uploads/2026/10/bigtime-reviews-screenshot-1.jpg)BigTime holds 4.6 from 663 Capterra reviews, with Ease of Use at 4.5 and Customer Service at 4.6, where Jennifer H., a Realtor Associate, notes everything can be managed centrally. My own screenshot, October 2026.

The rough edges tend to appear as firms move deeper into the platform. Oscar H., an Office Manager, wrote on Capterra on August 19, 2026 that **“some features have a learning curve”** and mentioned glitches and limited customization. Resource Management can ask considerably more of the implementation team.

![a screenshot of review of bigtime left by oscar h. on capterra](https://www.timecamp.com/blog/wp-content/uploads/2026/10/bigtime-reviews-screenshot-2.jpg)Oscar H., an Office Manager in Mining & Metals reviewing on a free trial, rates BigTime 4.0 and flags a learning curve, occasional glitches and limited customization. My own screenshot, October 2026.

William Y., Director of Consulting Services, wrote on G2 on December 22, 2025 that the module was **“difficult and too time-consuming to implement”** for his A&E workflow. Invoice templates and parts of the reporting experience also attract criticism. Higher-tier pricing adds another unknown because BigTime doesn’t publish fixed rates for Advanced or Premier.

![a screenshot of review of bigtime by william y. left on g2](https://www.timecamp.com/blog/wp-content/uploads/2026/10/bigtime-reviews-screenshot-3.jpg)William Y., a Director of Consulting Services, gives BigTime 5/5 for straightforward time tracking but calls Resource Management difficult and time-consuming to implement for his A&E workflow. ### BigTime’s Pros and Cons in 2026

| Strengths | Limitations |
| --- | --- |
| Day-to-day time entry stays connected to project finances | Configuration gets heavier as the workflow grows |
| Project profitability can be tracked against utilization and budget | Resource Management can take significant time to implement |
| QuickBooks integration keeps billing close to the accounting workflow | Invoice templates and customization draw occasional criticism |
| Custom reporting is available on higher plans | Reporting depth varies across plans and products |
| Support and onboarding receive plenty of positive feedback | Higher-tier pricing and add-on costs aren’t fully visible upfront |
| BigTime has a mature product and a large review base | Parts of the interface feel dated to some reviewers |

I guess marketing numbers deserve the same scrutiny.

BigTime cites a **66% productivity increase** from Draper & Associates, where a manual t[imesheet approval](https://www.timecamp.com/time-tracking/rapid-timesheet-approvals/)
and invoicing process fell from roughly 60 days to about 20 after implementation. Useful result, but it belongs to one customer. Aegis reported a **50% reduction in billing time**, and Isaman Design reported **40%**, which gives a better sense of how much the outcome depends on the workflow a firm starts with.

The 2026 **SPI Professional Services Maturity Benchmark** gives us a wider reference point. It covered **509 firms, more than 245,000 employees, and $63 billion in services revenue**, with average billable utilization falling to **66.4%**, the lowest level recorded in the study. BigTime’s focus on utilization and project visibility therefore lines up with a genuine pressure point for professional services firms.

### How does BigTime time tracking work?

What I noticed browsing BigTime’s website is that BigTime doesn’t treat a time entry as an isolated record. Log 90 minutes to a client task and that time stays connected to the engagement as it moves through the workflow, eventually feeding the numbers used to assess project performance and profitability. **That link between recorded work and project economics is what makes time tracking part of the wider PSA process.**

![a screenshot of bigtime's time tracking landing page featuring timesheet iew](https://www.timecamp.com/blog/wp-content/uploads/2026/10/bigtime-timesheet-website-screenshot-scaled.jpeg)Without a free demo to test hands-on, I used BigTime’s own feature page for this weekly timesheet, where hours are logged by job, task and category before being submitted for approval. My own screenshot, October 2026.

What happens after the timer stops? Submitted hours follow the company’s approval rules. Managers can approve an entry or send it back for changes, and Premier supports up to three approval levels. Billable and non-billable work remain separate throughout the process. **Approved time can then feed invoicing and update the project data used to judge financial performance.**

| Step | What happens |
| --- | --- |
| Log time | Start a timer or add hours manually |
| Add project context | Assign the entry to the relevant project and task |
| Review | Submitted hours move through the approval workflow |
| Use the entry | Approved time feeds billing, budget tracking, and profitability reporting |

I find that handoff more interesting than the timer itself. BigTime isn’t a monitoring tool, so it doesn’t watch someone’s desktop or rely on screenshots. The useful part comes later, when recorded hours start affecting the project’s budget and margin picture. For professional services firms that need to know what client work is doing to profitability, **time data becomes part of performance reporting, not a separate admin record.**

### How does BigTime resource management work?

Each project in BigTime can carry its own work structure and commercial rules, so managers can compare the plan with what the team is actually consuming. I’d pay closest attention to budget-versus-actual here. **Scheduled hours can be checked against actual cost and margin, giving you an early warning when a fixed-fee job is drifting toward a cost overrun.**

| Capability | What it covers | Availability/note |
| --- | --- | --- |
| Projects and tasks | Work structure and tracked activity | Core |
| Budgets and rates | Planned vs. actual project economics | Controls vary by plan |
| Project templates | Reusable project setup | Advanced |
| Multi-level approvals | Review workflow | Premier, up to 3 levels |
| Resource Management | Availability and future demand | Separate deeper module |

Resource Management changes the question from “who is free today?” to “who fits the work coming up?” Managers can check availability against the skills a project requires, then look ahead to demand next quarter. **AI matching adds a ranked shortlist that also considers financial fit.** BigTime presents this as AI-powered staffing, but I wouldn’t translate that into a guaranteed increase in project team effectiveness. The software can help with the selection process; it can’t prove how well that team will perform after the project begins.

![a screenshot of resource management website by bigtime](https://www.timecamp.com/blog/wp-content/uploads/2026/10/bigtime-resource-management-screenshot-scaled.jpeg)BigTime’s Resource Management page shows staff booked against Project Quantum Leap by role and planned hours, the capacity view for spotting staffing gaps early. We used its own materials, since BigTime offers no self-service trial. My own screenshot, October 2026.

BigTime currently pairs Resource Management with a **5% increase in profitability** on its [pricing page](https://www.timecamp.com/pricing/)
. There’s no methodology for that figure on the page itself, so I’d treat it as a vendor claim, not a number to plug into your own forecast. The more useful test is whether the module helps you catch staffing gaps early and see the margin impact of over-allocation.

### What kind of PSA services does BigTime offer in 2026?

[Professional services automation software](https://www.timecamp.com/psa-time-tracking/)
keeps client delivery and project finances in the same workflow. Logged work affects budgets, staffing decisions inform project capacity, and approved activity eventually reaches [client billing](https://www.timecamp.com/time-tracking/billing/)
. In BigTime, those records stay connected as work moves from delivery into billing and [financial reporting](https://www.timecamp.com/time-tracking/reporting/)
.

![a screenshot of bigtime psa website](https://www.timecamp.com/blog/wp-content/uploads/2026/10/bigtime-psa-website-screenshot-scaled.jpeg)Since BigTime doesn’t offer a self-service trial, so this sell-resource-bill-deliver dashboard comes from its own PSA page, pulling billability, unbilled WIP, drafted invoices and approvals into a single view. My own screenshot, October 2026.

BigTime fits that model closely. A client engagement can start with scoping and move into a project with its own budget and billing rules. Staff record their work there, managers review submitted entries, and **approved time becomes available for [client invoicing](https://www.timecamp.com/time-tracking/invoicing/)**. Firms using [Resource Management](https://www.timecamp.com/time-tracking/resource-planner/)
can also plan capacity and compare scheduled work with what teams actually deliver. Enterprise PSA extends the same idea into more complex financial structures and multi-entity operations.

However, I wouldn’t reduce PSA to **maximizing billable hours**.

Utilization is useful, but a services firm also needs to know whether the work is priced properly, whether the right people are available, and what each project is doing to margin. BigTime uses the same operational data to answer those questions across the life of an engagement. In practice, the PSA layer in BigTime shows up in the live project view: **recorded hours feed the financial record**, giving teams real-time visibility into budget status and delivery progress.

| When a full PSA is more than you need? BigTime justifies its depth when a firm needs detailed financial control around client delivery, staff allocation, and multi-step review. However, a smaller team focused mainly on tracking hours accurately and keeping margins visible may never use much of that extra layer. |

## What are the pros and cons of BigTime?

BigTime’s strengths come from how much of a professional services operation it can hold in one system. The trade-off is heavier setup and less pricing clarity as you move further into the product family.

| Pros | Cons |
| --- | --- |
| Recorded time stays connected to client financials | Deeper configuration takes more implementation effort |
| Budget and utilization data help expose margin drift | Resource Management can take time to roll out |
| QuickBooks integration reduces manual finance handoffs | Higher tiers and add-ons aren’t fully priced in public |
| Custom reporting is available on higher plans | Invoice templates and customization draw occasional criticism |
| Support and onboarding score well in user reviews | Parts of the interface feel dated to some reviewers |

## Who is BigTime for, and who might not need the full PSA?

Headcount gives you part of the picture. What matters more is how much operational depth sits behind each client engagement. **BigTime is built for firms that need PSA-level control over delivery and finance, not simply a place to record hours.**

| Profile | BigTime fit | Why |
| --- | --- | --- |
| Professional services firm handling several concurrent engagements | Yes | BigTime can connect delivery data with the financial side of each engagement |
| Firm that needs resource planning and project accounting | Yes, built for this | These are core PSA use cases |
| Accounting or A&E firm with DCAA requirements or a QuickBooks-heavy finance process | Yes | BigTime supports compliance controls and close accounting integration |
| Team mainly concerned with time capture, invoicing, and margin visibility | Less so | Much of the PSA layer may go unused |
| Solo consultant or very small shop | Often more than needed | Setup and cost become harder to justify when the operating model is simple |

**The first threshold is scope.** A firm that needs forecasting or formal project accounting has a clear reason to look at BigTime. If the day-to-day job mostly comes down to recording hours accurately and knowing what client activity is doing to margin, the extra PSA machinery has less to solve.

**Size changes the economics too.** A small consultancy can absolutely have enough complexity to justify BigTime, so I wouldn’t treat ten billable employees as a hard cutoff. For a solo operator or two-person shop, though, a platform with no permanent free plan and several deeper products sold separately is a much bigger commitment.

**Then there’s the cost beyond the core plan.** Resource Management and other additions expand what BigTime can do, but they also make the final spend harder to judge from the public pricing page. Advanced, Premier, and Enterprise require a quote. Budget-conscious teams need to work out which parts of the PSA stack they’ll actually use before signing.

| Choose BigTime when: client delivery depends on project accounting, future capacity, or compliance controls, and those functions need to live inside a full PSA. You might not need all of it when: your main concern is capturing time accurately, getting invoices out, and keeping margins visible with less setup. |

## How much does BigTime cost in 2026?

BigTime publishes one clear entry price: **Essentials starts at $20 per user per month**. Advanced and Premier now send buyers to a demo request, and Enterprise is custom. That makes the headline price easy to understand, but the final spend gets harder to estimate as soon as you move beyond the core plan.

| Plan | Current public price | What changes at this level |
| --- | --- | --- |
| Essentials | From $20/user/month | Core BigTime Delivery, QuickBooks integration, standard reporting, and AI Assistant |
| Advanced | Contact sales | Adds custom reporting and invoice templates, project templates, DCAA+, Salesforce and Jira |
| Premier | Contact sales | Adds multi-currency invoicing, custom cost/rate controls, deeper budgeting, and multi-level approvals |
| Enterprise | Custom quote | Finance-first Enterprise PSA plus access to products such as Services CPQ and Resource Management |

What I’d flag before finding out if your team can afford BigTime:

- **Ten Essentials seats come to $200 per month at the published starting rate.** Resource Management, Quotes, and Data Hub sit outside that simple calculation, with no public rates shown for those additions. You can budget the entry plan immediately. A larger setup needs a quote.
- **A couple of impressive numbers on the pricing page need context.** Services CPQ is associated with an **88% reduction in sales-cycle time**, and BigTime cites a **99% decrease in proposal turnaround time**. Neither result comes from [automatic time tracking](https://www.timecamp.com/time-tracking/automatic-time-tracking/) . The 99% figure traces back to Smarsh, where proposal turnaround dropped from more than three weeks to minutes after CPQ implementation.
- **Data Hub comes with an unusually absolute promise: “100% confidence in data integrity.”** BigTime connects that claim to centralized records with hourly or daily syncs. I’d treat the wording as product positioning, since the page doesn’t provide a benchmark showing perfect data integrity across customer implementations.
- **Third-party pricing can send you in the wrong direction.** You may still find **$35/user/month for Advanced and $45/user/month for Premier** elsewhere online. BigTime’s current pricing page no longer publishes either figure, so Essentials is the only main plan you can price with confidence before speaking to sales.

## Frequently asked questions about BigTime

### What is BigTime used for?

BigTime is mainly for professional services firms that deliver to clients. Its functionality covers time and expense management, project finances, invoicing, and resource planning, so operational data stays connected as an engagement moves forward.

### Is BigTime free?

No. BigTime has **no permanent free plan**. Its current website promotes a personalized demo and routes higher-tier buyers through sales; the pricing page doesn’t currently list a self-service free trial.

### How much does BigTime cost?

BigTime Essentials starts at **$20 per user per month**. Advanced and Premier are quote-based, with Enterprise priced individually, so Essentials is the only main tier you can budget from a public figure.

### What is PSA software?

PSA stands for professional services automation. It connects client delivery with the financial side of a services business, giving teams one place to follow utilization, capacity, and the economics of active engagements.

### Does BigTime integrate with QuickBooks?

Yes. QuickBooks integration is included with Essentials, and BigTime also connects with Salesforce, Google Calendar, Jira, and Zapier. BigTime removed its native Slack integration in March 2025, even though older product pages may still mention it.

BigTime’s 2026 QuickBooks guide also cites **650+ third-party apps in the QuickBooks Online ecosystem**. That number refers to QuickBooks integrations overall, not 650 integrations built into BigTime.

### Does BigTime have a mobile app?

Yes. BigTime has mobile apps for **iOS and Android**, with timers plus mobile time and expense entry. Current documentation also covers reviewing and completing entries from the app when you’re away from the desktop version.

### Is BigTime good for small firms or freelancers?

It can be, but size alone isn’t a reliable cutoff. A small firm with complicated client finances or capacity planning may use plenty of BigTime’s functionality; a solo consultant mainly creating invoices from logged hours is more likely to find the setup and cost hard to justify.

### What are BigTime’s add-ons and additional products?

BigTime’s wider product family includes **BigTime Resource Management (formerly Foresight)**, **BigTime Payments (formerly Wallet)**, BigTime Quotes, Data Hub, and Services CPQ. They extend the core platform into areas such as capacity planning, payments, scoping, and deeper data access, with availability and pricing depending on the package.

## Bottom line: Is BigTime the right choice?

BigTime is at home in firms where project operations already have their own rhythm. PMs are changing rate cards during active engagements. Finance needs clean numbers at close, and resourcing decisions can move the margin before anyone sends the final invoice. **When that’s normal business, a full PSA has plenty to do.**

BigTime also expects the team to meet it halfway. Rollout takes real attention, and reviewers still call out parts of the interface. Pricing gets less predictable beyond Essentials too. None of that is unusual for software this deep, but it does mean the platform needs an operational reason to be there. Buying it for a glorified timesheet would be overkill.

TimeCamp is aimed at a different kind of setup. Accurate time capture sits much closer to the center, with [billing](https://www.timecamp.com/time-tracking/billing/)
and margin visibility built around those records. The free plan also covers unlimited users. **TimeCamp is not a full PSA**, so you won’t find project accounting or resource forecasting there. DCAA compliance, CPQ, and multi-entity finance sit outside its scope as well.

The choice really comes down to how much of the services operation you want the software to own. BigTime reaches deep into how a professional services firm is run. TimeCamp stays focused on the time-and-profitability side of client delivery and keeps that part of the job easier to manage day to day.
