**Paymo is a cloud-based work management app for client work**, created by Paymo LLC, which is based in Romania. It brings together tasks, [time tracking](https://www.timecamp.com/time-tracking/)
, and client invoicing, and its more expensive plans also include advanced scheduling and profitability reports.

The origin story is pretty interesting. The platform grew out of a small web development agency that struggled to keep tabs on every project (*and was often underpaid as a result*), so they built a tool to track hours and invoice clients correctly.

I finished onboarding and was already creating tasks and tracking time in under 10 minutes. Paymo does a lot and is easy to use, but bigger agencies often find it inflexible and difficult to scale. For larger departments, it makes more sense to use separate, dedicated software for project management, time tracking, and invoicing.

## How does Paymo work in 2026?

Paymo’s central record is the project. It connects the client, tasks, hours, and eventually the invoice. Here’s what the process looks like:

1. **Add a client and create a project**. This is the first thing Paymo will help you create, and you can also use templates to speed things up. You’ll tie it to a specific (or new) client, and then you’ll decide whether you want to bill hourly, at a flat rate, or on retainer (the last two are only available on paid plans).
2. **Break the work into tasks.** From the Home menu, you’ll quickly create task lists, assign tasks, and set priorities and due dates. You’ll organize to-do lists, add subtasks, and enter estimated hours for planning. If you’ve used a project management tool before (e.g., Trello, Monday, Jira, Asana), this will be familiar territory, and it won’t take you long to get the hang of it.
3. **Track time against those tasks.** The web app, the desktop app, and the mobile apps all have built-in time trackers. You can restart recent tasks with a play button to quickly resume timers or even fill in your timesheet afterward.
4. **Turn unbilled time into an invoice.**Paymo pulls tracked hours into an invoice you can edit and send to your clients. If you’re in the US, you’ll use PM Payments to accept online payments; international customers must connect to a third-party gateway.
5. **Keep projects profitable.** On Plus and up, you can generate reports to monitor a project’s health. Paymo lets you see how things are going by comparing internal costs to what you charge the client.

During the trial, you’ll be able to switch between several different views (i.e., list layouts), including Kanban, Gantt, Calendar, and a few more. Note that, aside from the standard “List” view, **the more advanced visualizations are all normally locked behind paid plans**.

## What does Paymo do well, and where does it fall short?

**Paymo does a fantastic job at tying tracked time to money.** Once you’ve set up your clients and projects, your logged hours will flow into invoices with the press of a button (*or two*). You don’t need to re-enter information, and I also like how easy it is to generate detailed reports from the same data.

On the other hand,**it struggles when you treat it as a pure project management tool.** It’s simply not as well-equipped as dedicated, well-established PM platforms. Using its time tracking and invoicing tools as standalone tools also doesn’t seem like a sensible financial choice.

Users on both G2 and Capterra agree that **Paymo is a great all-in-one PM, time tracking, and invoicing tool**. A few managers say it lacks personalization, while some freelancers admit they don’t use most of its tools on a daily basis. Others really dislike the mobile apps for their limited functionality, and a few reviewers seem annoyed by the missing dark mode and limited export options.

During the 15-day trial, **note the features you actually use**. There’s no reason to pay extra for bells and whistles you don’t need; I, for one, barely touched the Gantt charts and schedulers during my trial. Even if you’re working alone, you’ll probably need to opt for Plus; Solo has a limit of just 3 clients!

## How does time tracking work in Paymo?

Paymo works well as a **time tracker** and, for teams, an **employee time clock**. There are four main ways to log hours:

- **Web timer:** Pick a project and task > add a note > start the timer. The **active timer** will become sticky, helping you measure your efforts accurately as you track **time spent**. When you stop it, the entry will automatically land under the “Timesheets” tab. This is as straightforward as it gets!
- **Timesheets area:** You can adjust logged hours by editing them and dragging entries between hours and days. A lifesaver if you’re like me and don’t always remember to set the timer at the beginning of your session. By default, the boxes show captured **time chronologically**, which makes it easier to **check employee timesheets**. On the Plus plan and above, you can add time in bulk.
- **Paymo Track:** This is essentially Paymo’s automatic tracking app (available for Mac, Windows, and Linux). It runs in the background, recording the time you spend in other apps and grouping it into blocks. At the end of the day, you match the blocks to tasks and projects to create timesheet entries.
- **Mobile apps:** You can track time on the go on iOS and Android, **view tasks**, and restart **recent tasks** quickly. Like other users, I had trouble interacting with project timelines and dependencies on mobile; team scheduling was also not available.

Timers and the desktop and mobile apps work on every plan, including Free. That said, if you want timesheet reports (including live ones that update themselves), you’ll need to upgrade to Plus. Timesheet approvals are only available on the Pro plan.

## How does Paymo project and task management work?

Paymo started as a time tracker, but is now **a project management platform**. You can easily assign tasks, split them into subtasks, set priorities, add **estimated hours**, **set estimated time budgets**, and get email alerts before due dates. These are all things you’d expect from a modern PM tool.

The Kanban and calendar views are also a major highlight if you’re willing to pay extra.

The Plus plan comes with a “meta” Kanban board that gives you a quick overview of tasks across projects. Recurring tasks and project templates also become available on this tier. Oh, and *it gets even better!***The expensive Pro plan unlocks advanced scheduling**, and you can do some pretty neat things with it (e.g., set up automatic scheduler suggestions for tasks that have an assigned user and due date). Pro also helps with **task bookings** when scheduling people’s work.

**As a Pro user, you get task dependencies** and shiny Gantt charts that help visualize tasks on a timeline, **plan milestones ahead**, and keep **important deliverables** visible as they relate to each other. The employee scheduling and leave management tools are also locked behind the Pro plan.

The catch is that if you’re on **the cheap Solo plan**, the connections between project management, time tracking, and invoicing aren’t that smooth. Even the Plus plan can be pretty limiting for **team collaboration** on more complex work.

## How does invoicing work in Paymo?

**Paymo’s invoicing is super easy** and mostly automated, as long as you’ve set up your clients and projects properly (*and haven’t forgotten to track time on tasks*). You pick a client, pull in the unbilled time, adjust the invoice in a WYSIWYG editor, and send it. On Plus and Pro, you can also track expenses, and they’ll be automatically added to the total.

The personalization options didn’t blow me away, but the invoice generator did the job.

Here are a few highlights:

- **Templates and languages:** I counted 10 library templates, 23 languages, and 95+ currencies. You can also restyle with HTML/CSS, so if you’re savvy that way (*can you tell I’m not?*), you might be able to create an invoice that looks a lot better than mine.
- **Flexible billing:** Recurring invoices (Plus and Pro), partial invoices by percentage or amount, manually recorded partial payments, discounts, and VAT.
- **Estimates and expenses (Plus and Pro):** You can turn a project plan into an estimate, then into an invoice once the client accepts. Employees can upload receipts directly from their smartphone camera and store mobile expenses for later billing.
- **Payments and accounting:** You can accept payments via Stripe, PayPal, Authorize.net, or PM Payments (card and ACH, US only). You can also sync invoices with QuickBooks Online or Xero.

Invoices and timesheets share the same data, so you can actually see if a project makes you good money while the work is still happening (if you’re on Plus or Pro).

## What are the pros and cons of Paymo in 2026?

Paymo works best when you want **projects, hours, and invoices in one place** and **don’t mind paying a bit more to get the features that make the connections possible**. The main risk is **buying a full PM suite when you really only need a timer and an invoice**.

## Who is Paymo for, and when might you outgrow it?

If you or your team want to plan work, track it, and bill for it without stitching three tools together, you’ll likely appreciate Paymo. **Paymo has a clear sweet spot for small businesses (about 5–20 people) that want all their projects in one system.**For those setups, its features deliver the most value for the price.

As a solo freelancer, I had a blast testing and using Paymo, but **I couldn’t possibly justify subscribing beyond the 15-day trial**. The Solo plan’s 3-client limit is too restrictive, and I don’t really care for most of the features in the Plus plan. And we’ve already established that Pro’s fancy Gantt charts don’t excite me, either!

At the same time, **I suspect a larger agency likely won’t find all the customization options it needs** to justify a Pro subscription.
