Our Timesheet Approvals feature allows you to choose who is in charge of approving or rejecting timesheets.
Note: To adjust Timesheet Approval settings you need to have Administrator privileges and be located in the main Group.
Administrators from Subgroups can not adjust these settings.
To change Approvals settings navigate to Settings > Add-ons > Timesheet Approvals.
You can decide who’s going to have the ability to approve timesheets by adjusting the “Who can approve timesheets” setting.
The two available options are:
- Only Time Tracking Administrators
- Supervisors and administrators for people who they manage.
Only Time Tracking Administrators
Time Tracking Administrator is a global role that can be assigned to any user within the account.
Time Tracking Administrators can create new projects and modify (change settings, assign people, create subtasks) all projects within the account. They can also browse timesheets of every user within the account and generate reports for all projects and users.
Selecting this option will grant any user with the Time Tracking Administrator permission the ability to approve or reject the timesheet of any user within the account (including their own timesheet).
Time Tracking Administrator permission can be assigned by editing any user within the Settings > Users bookmark.
Note that Administrators are granted with the Time Tracking Administrator permission automatically.
Supervisors and administrators for people who they manage
This option grants timesheet approval permissions to Administrators or Supervisors from Groups they’re placed in within the organization’s structure, as well as all their potential subgroups.
This works well if you’ve divided your users into specific Groups/Department and assigned proper team roles to them.
In this example, the Sales & Marketing Manager, located in the “Sales & Marketing” Group, will be able to approve timesheets for all users within this group, as well as both “Sales” and “Marketing” subgroups.
The Marketing Team Leader will only be able to approve or reject the timesheets of people from the Marketing Team.
Enabling limited hierarchical reporting structure
This advanced feature is the development of the “Supervisors and administrators for people who they manage” option and works only with this option selected.
After enabling such a feature, your Administrator/Supervisors will be limited to approving timesheets from users within their group and for Supervisors or Administrators from potential subgroups.
The task of approving timesheets for Users within subgroups will belong to Supervisors/Administrators located in these subgroups.
Supervisors from parent groups will be responsible for approving timesheets of users from subgroups only if these subgroups do not include any Supervisors.
In this example, Sales & Marketing Manager, located in the “Sales & Marketing” Group, will be able to approve timesheets for all users within this group, all users within the “Sales” group (as there’s no Supervisor there), and the Marketing Team Leader.
The Marketing Team Leader will be able to approve or reject the timesheets of people from the Marketing Team – and will be the only person with such permissions.
You can also turn on a feature to automatically approve timesheets submitted by your users.
If timesheets will not get approved or rejected after a specified period of time by people who are responsible for reviewing them, system will approve them automatically based on your settings.
