ActivTrak Reviews 2026: What Real Users Actually Say

ActivTrak reviews depend on who’s writing them. Managers and admins rate it 4.3/5 on G2 (342 reviews) and 4.5/5 on Capterra (591 reviews), and they mostly praise its clear productivity insights and early alerts on workload balance. Its Trustpilot rating is 1.5/5 (153 reviews), mainly because many users complain about auto-renewing annual contracts that are hard to cancel.

Key takeaways about ActivTrak in 2026

  • Buyers are content (for the most part). Ease of use is the most-cited pro on G2 with 55 mentions, and reviewers like how ActivTrak can detect overworked and underused staff early.

  • Billing is a persistent issue. There are only annual plans, and you must cancel 30 days before renewal to avoid new-cycle charges. This inflexibility causes misunderstandings and frustration, driving most 1-star reviews on Trustpilot and the lower scores on G2 and Capterra.

  • The plans aren’t a ladder (i.e., users are encouraged to combine packages). For example, the Productivity Optimization plan unlocks workload balance and capacity planning, but it doesn’t include real-time visibility and website blocking, which the cheaper plans include.

  • Screenshots cost extra. You need the Screen Details add-on, which is only sold with the Work Activity Tracking and Workforce Management plans. Note that ActivTrak doesn’t use keystroke logging or camera access.

  • Expect admin time. You need to keep classifying apps/websites and pruning old devices to maintain data integrity. Employees on Reddit describe misleading performance warnings caused by inaccurate/outdated classifications.

  • The free plan is basic. It’s limited to just 3 employees with 30 days of data history and no option to export data.

  • There’s no client billing. Agencies that bill by the hour will still need a separate invoicing tool.

If your team is large and you’re willing to commit for a full year, ActivTrak’s agents and advanced workforce analytics may help you spot bottlenecks. If you want monthly billing or need to bill clients and track project profitability, a project-first time tracker will suit you better.

How do we review software in TimeCamp?

A human is behind every word posted here. We value our users’ time and trust, so you can be sure our team (Ola, Wojtek, Kasia, Iza, Robert, and others) spent real hours testing the apps, and then researching, briefing, and writing this article.

However, our editorial team has 10+ years of experience writing SaaS content, including testing and using a variety of tools daily. Our writers are also app users, so we write our recommendations based on what we would read as potential clients. Our main rule is “do not cover without a source.”We also revisit and update our articles to cover notable changes to the app’s features or pricing (at least quarterly).

Three crowds review ActivTrak, and they don’t agree. Managers and buyers rate the software on G2 and Capterra. Former (and mostly disgruntled) customers criticize the rigid billing structure on Trustpilot. IT staff and employees share concerns about misleading report numbers on Reddit and Quora. I’ve separated the scores to help you see the wider picture and draw your own conclusions.

Overall scores agree on the two major review pools (G2 and Capterra). G2’s lowest marks go to Product Direction (8.2) and Ease of Use (8.4). Capterra’s go to Value for money and Features (4.4).

*Capterra, Software Advice, and GetApp all draw from the same review pool. The 591 reviews on each site are the same; only the website layout and how the information is presented differ slightly.

**Why is ActivTrak’s Trustpilot score so low when 66% of its reviews are five stars? The five-star reviews are older and clustered in 2018 and 2019, and ActivTrak hasn’t invited customers recently. 13 of the 14 reviews posted since January 2024 are 1-star, and 11 of those 13 mention billing and cancellation issues. I’ve taken this into account, but note that these low scores don’t reflect the software’s overall features or capabilities.

a screenshot of activtrak's trustpilot page with a 1.5 trustscore from 153 reviews

Only 5 reviews in the last year (4 1-star and 1 4-star), which drag the “TrustScore” down because recent reviews are weighted more heavily (Author’s screenshot, November 2026).

How did I analyze ActivTrak reviews?

I, Alex Melidoniotis, read all the reviews on G2 (77), Capterra (47), and Trustpilot (14) from January 1, 2024, to November 2, 2026. The Capterra percentages in this article (e.g., the share of reviews that mention pricing) come from Capterra’s own review summary, which covers all 591 reviews on the platform, not only the 47 I read. I also analyzed 11 Reddit threads started between early 2025 and spring 2026 and 3 Quora threads.

Here’s a bit more about my process:

  • I trimmed one-off extremes. I filtered out praise and complaints that seemed relevant only to individual cases.

  • I excluded duplicates. Some reviewers post the same text on several sites. For example, one CFO’s (Leo P.) auto-renewal complaint appears word for word on G2, Capterra, and Trustpilot, so I counted it only once.

  • I weighted non-incentivized reviews more heavily. I read incentivized reviews too, but because their scores skew upward, I gave more weight to organic ones.

  • I considered employee objections only to the extent they relate to ActivTrak’s offerings. Reddit and Quora mostly debate whether employers should use tools like this at all, but a few users did share useful insights about the software itself.

  • I handpicked and attributed every quote. Under each quote, I’ve included the reviewer’s name (where available), their role, platform, date, and star rating.

In November 2026, I signed up for the 14-day trial (which gives access to the Workforce Management + Productivity Optimization plan bundle) and installed the agent on 3 separate devices. I ran the agents for a few days and tested the platform’s capabilities along the way.

At the same time, I looked for the issues reviewers raise most: classification, plan limits, screenshots, and the cancellation process.

To give you the most accurate picture of ActivTrak, I focus on where others’ experiences align with my own testing.

What do users like about ActivTrak?

ActivTrak is defined by rich productivity data, and that’s what many users like about the platform. Here are the strengths reviewers mention, roughly in this order.

A quick setup and a light agent

Getting started is relatively straightforward. ActivTrak scores 8.5/10 for Ease of Setup on G2, and according to Capterra’s own review summary, 95% of the 55 reviews there that mention ease of use are positive.

ActivTrak runs on a lightweight software agent on Windows and macOS and has no measurable performance impact on up-to-date devices. It took me less than five minutes to download and deploy my first agents, and I didn’t notice any performance issues during testing.

Silent deployment is available on all paid plans, and it allows you to install agents on work computers without displaying installation prompts. Note that newer versions of macOS don’t support fully silent MDM deployments.

The initial setup of ActivTrak was very easy too, which was a nice bonus.

Joey C., Information Technology Specialist, Small-Business, G2, July 28, 2026, 4/5

I like the lightweight application.

James M., IT Director, Enterprise, G2, July 30, 2025, 5/5

Beyond the initial setup, many reviewers later struggle with classification and reports.

Clear visibility into how work actually happens

Visibility shows up a lot, and it’s the most common theme G2 reviewers praise after ease of use. Clear visibility into employee productivity is mentioned 31 times, and 28 users praise its real-time employee monitoring capabilities. Capterra’s own review summary shows that 93% of the 41 reviews that discuss staff oversight tools are positive.

Managers use ActivTrak at the team level to see which apps and sites take up the day and how productive hours shift week to week. Activity tracking is automatic on every plan (even on Free), so nobody has to manually log time. ActivTrak also handles real-time productivity metrics well; I noticed it refreshed statuses every five seconds.

Once everything is set up, you don’t need to spend too much time checking stats on the platform itself. Managers and administrators often say the reports matter more than the raw activity.

Now I find the reporting and analytics more useful than simply looking at activity.

Abhishek A., CEO, Architecture & Planning, Capterra, August 11, 2026, 5/5

As a manager, I appreciate the weekly email that provides trends…

Trent C., Head of Operations, Mid-Market, G2, April 27, 2026, 4.5/5

a screenshot of a g2 activtrak review by trent c.

Looking at the bigger picture is the best way to make the most of advanced reporting software like ActivTrak (Author’s screenshot, November 2026).

Warnings on burnout and spare capacity come early

ActivTrak earns praise for its Workload Balance report, which flags employees whose productive hours fall a set percentage (20% by default) above or below their daily goal. It provides a list of names and serves as a capacity-planning tool that helps managers see who’s overloaded and who has room.

Some people were quietly underwater while others had room.

Min Fong H., Intern, Mid-Market, G2, July 28, 2026, 5/5

This helps me spot potential burnout risks before they become a real problem.

Muhammad H., Digital Technology Manager, Mid-Market, G2, July 31, 2025, 4.5/5

Note that you must properly define your team’s productivity goals first for this feature to provide real value. Productivity benchmarks and workload balance reports are only available on the Productivity Optimization plan, which starts at $17 per worker per month (billed annually).

Tools that catch gamed activity

IT and security teams like ActivTrak’s alarms. The Work Activity Tracking and Workforce Management plans include mouse-jiggler detection and false activity detection. You can receive alerts when activity-simulating software is detected and make it so recorded artificial input counts as passive time.

An enterprise insurance reviewer said ActivTrak helped him end a familiar workaround:

ActivTrak has helped us prevent abuse of remote work and prevented stay-alive devices that are not to be used on our systems.

Verified User in Insurance, Enterprise, G2, July 23, 2025, 5/5

a screenshot of a g2 activtrak review by a verified user in insurance

Catching “stay-alive” software is one of the main reasons managers turn to ActivTrak (Author’s screenshot, November 2026).

When asked what problem ActivTrak solves, one IT coordinator answered in a single line:

Data loss prevention. And keeping our WFH’rs on task.

Myia G., IT Coordinator, Small-Business, G2, August 8, 2024, 5/5

Helpful support (if you can reach it)

Customer support is divisive. Quality of Support earns 8.5/10 on G2, and Capterra rates customer service 4.5/5. These are decent scores, and many reviewers describe quick, clear answers:

I really appreciate the fast response and support.

Ashley D., CCM, Consumer Services, Capterra, December 15, 2025, 4/5

At the same time, slow and unresponsive support is a frequent complaint on Trustpilot. The problem is that ActivTrak treats support as a premium feature. As a free user, you only have access to the platform’s knowledge base.

Digital support (email and live chat) is available on weekdays during business hours. If you pay for the Premier/Signature Support add-on, you unlock weekend chats and assistance by a technical account manager.

There’s no way for larger teams to avoid this fee since a paid support add-on is required for setups that exceed 50 licenses.

At times I have waited over a day for a reply.

Rich W., Executive Director, Information Technology and Services, Capterra, April 14, 2026, 5/5

I wasn’t particularly blown away by ActivTrak’s support myself. I wanted to ask whether paid plans have a minimum number of seats, but I couldn’t quite escape the chatbot. Free-form typing was disabled, and it takes some time to reach a human representative and get answers.

What do users complain about in ActivTrak?

The complaints are narrow and consistent. They mostly come down to transparency issues around billing, followed by plan limits and admin overhead.

Annual contracts auto-renew and are hard to leave

According to Capterra’s own review summary, 43% of the 94 reviews that mention pricing are negative. 11 of the 13 one-star reviews on Trustpilot posted since January 2024 describe some kind of billing issue (e.g., renewals, charges, contracts, or cancellations).

It’s easy to see why. All plans are billed annually, and if you want to cancel, you need to submit a Cancellation Request Form at least 30 days before your renewal date. You can’t cancel mid-contract, and there are no refunds. License cuts or downgrades also wait until renewal. The whole system is unnecessarily convoluted and bound to create customer friction.

A CFO whose division had closed tried to stop a renewal for a product that was going unused:

If you do business with ActivTrak, watch your renewal date very carefully, because once they renew you, do not expect much flexibility or a real conversation.

Leo P., CFO, Mid-Market, G2, March 9, 2026, 0.5/5

a screenshot of a g2 activtrak review by leo p.

They posted the same complaint word for word on Capterra and Trustpilot (Author’s screenshot, November 2026).

ActivTrak charged our business credit card a significant amount without any notice or warning.

Good Feet Store, Trustpilot, July 30, 2026, 1/5

The pattern is usually the same: an employee or admin signs the company up, and the business finds itself locked into an unplanned contract.

That said, it’s not always a dead end. One customer from New Zealand whose admin bought a yearly plan by mistake managed to get out early:

ActivTrak eventually reviewed the situation and took ownership of the issue. The Manager of Customer Success, personally reached out, acknowledged the problems we experienced, and arranged for the subscription to be cancelled without penalty.

Reece B, Trustpilot, May 20, 2026 (updated June 5, 2026), 4/5

Billing transparency isn’t ActivTrak’s strong suit. On the “Upgrade” page, I found only one tiny FAQ at the bottom that touched on cancellations. The link leads to a blog post that outlines the overly complicated cancellation and license change terms in more detail.

Who it bites: companies that might downsize and seasonal teams.

Key reports sit in higher tiers and add-ons

The second money complaint is about ActivTrak’s pricing and plan structure. Buying a more expensive plan doesn’t automatically give you access to all the features available in the lower tiers.

For example, if you want workload balance metrics and team benchmarks from the Productivity Optimization plan ($17), but you also want real-time visibility and mouse-jiggler detection, you’ll also need to buy Work Activity Tracking ($10) or Workforce Management ($15). ActivTrak offers special bundles (e.g., Workforce Management + Productivity Optimization for 30% off), which seem unavoidable for most teams.

If you want screenshots, you’ll need to pay an extra $2 per month per user, and AI insights are another $4. It adds up, and you’ll almost always pay more than the base per-seat price.

…the specific reports we need are only available in the highest-cost package.

Derek D., Chief Information Officer, Insurance, Capterra, April 20, 2026, 5/5

The add-ons are annoying.

Verified User in Law Practice, Mid-Market, G2, July 23, 2025, 4.5/5

…we were able to see more information in the trial than we can now.

Verified User in Insurance, Small-Business, G2, July 29, 2025, 3/5

Who it bites: small teams that expect trial-level detail on the $10 plan, and buyers who need both live oversight and analytics.

Agents require upkeep

Although ActivTrak automatically sorts thousands of apps and websites into productivity categories, it doesn’t get everything right. Anything it can’t place sits in “Undefined” until someone classifies it, creating a backlog that builds quickly.

I was spending a couple hours a day simply classifying websites…

Verified User in Consulting, Mid-Market, G2, July 9, 2024, 2/5

Those items remain Undefined until they are handled manually or by a custom rule…

Verified User in Insurance, Mid-Market, G2, September 4, 2026, 5/5

a screenshot of a g2 activtrak review by an insurance professional about undefined items

Even this five-star reviewer says unclassified items delay accurate reports (Author’s screenshot, November 2026).

The other chore is keeping the device list tidy. Capterra’s own review summary shows that out of the 41 reviews that mention user management processes, 51% are negative. For example, if an old device pushes your license count over the limit, you’ll have two weeks to fix it before reports stop showing data.

I frequently need to remove unwanted users that bring me beyond our license count.

Jason P., IT Systems Administrator, Machinery, Capterra, December 9, 2025, 4/5

ActivTrak agent 9.0 requirement is also just around the corner. From August 1, 2027, any devices running older versions of the agents won’t have their data processed. The caveat here is that agent 9.0 doesn’t work on Microsoft Windows 7 and 8, so if you’re running older OS on your machines, you’ll have to upgrade them first.

Who it bites: lean IT teams, shared or hot-desk computers and companies that swap devices often.

Activity data doesn’t always reflect real work

ActivTrak measures active versus idle time from keyboard and mouse input. The time it takes for passive time to trigger is adjustable (two minutes by default), but reviewers say that it misreads thinking time, calls, and in-person work as unproductive.

Measuring true productivity is subjective.

Blake M., cfo, Small-Business, G2, July 28, 2026, 4/5

The software shows activity, not the purpose behind it…

ROSARIO C., COO, Small-Business, G2, August 6, 2025, 4.5/5

I didn’t like how my team would show unproductive while on a Teams meeting.

Shelly A., CFO, Marketing and Advertising, Capterra, April 23, 2026, 5/5

a screenshot of a capterra activtrak review by shelly a.

Meetings create classification problems until you connect calendars (Author’s screenshot, November 2026).

ActivTrak offers Outlook and Google Calendar integrations on paid plans, and there’s even an HRIS add-on that syncs time off. Reviewers who get the most out of ActivTrak consider both its productivity score and output metrics to measure overall performance.

Who it bites: creative and analytical roles, as well as call-heavy teams.

A crowded interface and a learning curve

On G2, Ease of Use is the most-cited strength (55 mentions), but complexity is also its most mentioned weakness (20 mentions). 15 reviewers said the interface wasn’t user-friendly, and another 14 claim that navigation is difficult. So which is true?

After using the platform myself over a few days, I’d say both can be true. The dashboards are easy to read, but there are so many menus and subcategories that finding a specific report becomes a challenge in itself.

UI is cluttered, it’s not easy to understand what’s going on

Verified User in Media Production, Mid-Market, G2, March 25, 2026, 2.5/5

It can take time to sift through the reports to find what really matters.

Andres D., Ops manager, Small-Business, G2, August 12, 2025, 3/5

Speed also comes up. Reviewers make mention of slow-loading reports or having to refresh for data to show up properly.

Sometimes reporting won’t load correctly and I have to refresh a few times.

Michaela K., Compliance Director, Small-Business, G2, July 23, 2025, 5/5

Who it bites: managers who want quick answers without training, and data-heavy teams.

Screenshots are an add-on

Without the Screen Detail add-on, there are no screenshots. With it, they only fire when something triggers an alarm. The add-on also unlocks live screen views and display of full URLs. Reviewers want these features without paying extra, and who can really blame them?

Having only periodic images instead of a more comprehensive recording capability can make it difficult to analyze workflow interruptions…

Roberto B., Manager, Architecture & Planning, Capterra, December 10, 2025, 5/5

a screenshot of a capterra activtrak review by roberto b.

Alarm-triggered images just aren’t enough for most admins (Author’s screenshot, November 2026).

I wish I could view the screen without additional fees.

Christine C., Director, Hospital & Health Care, Capterra, September 13, 2024, 4/5

Note that Macs deployed through Jamf don’t support screen-capturing alarms or Screen View.

Who it bites: compliance and security teams that need forensic evidence, and buyers comparing ActivTrak with tools built around recording.

ActivTrak on Reddit: what employee complaints tell buyers

ActivTrak is a source of anger for many employees on Reddit. In the r/msp thread where a buyer asked for reviews (January 2026), MSPs split between refusing to deploy it on principle and saying it does what clients want.

Looking beyond that, most employee complaints trace back to how an employer set up the tool. Their frustration lines up almost exactly with the feedback admins and managers share on review platforms. In short:

  • ActivTrak’s agent only sees the computer it runs on

  • It counts and classifies hours (productive, active, focused), but it can’t evaluate finished work

The frustration is exacerbated when managers treat those hours as a performance score. On r/careeradvice, an employee who resolved more requests than anyone on their team ranked at the bottom for active hours, and their manager admitted the work itself was fine:

She said that despite my good work, it looks like I’m not doing enough…

u/Internal_Cap_268, r/careeradvice, WFH job in jeopardy because of ActivTrak, early 2025

The worst stories trace back to classification. A data engineer on r/remotework was pulled into an HR meeting because reports had their productivity at 10%. Once IT reclassified a batch of apps, the score shot up to 90%, but motivation had already taken a hit:

I did not get an apology from HR or my supervisor’s supervisor. This entire experience has killed my motivation to work hard…

u/Extreme-Bowler2032, r/remotework, ActivTrak has absolutely killed my motivation, late 2025

Paid plans support silent installs, but secret agent deployments make for very angry employees. If the goal is to avoid friction, prioritize transparency during rollout and don’t skip classification.

The reviewers who report smooth rollouts told staff up front and let them see their own productivity data (this is actually what ActivTrak encourages).

Who it bites: teams without a written policy on employee activity data, managers who treat active hours as a performance score, and companies that skip classification before rollout.

Who is ActivTrak a good fit for?

Buyers range from IT and operations to human resources. Organizations that want aggregated workforce productivity data and don’t mind annual contracts may find value in ActivTrak’s offerings.

If you want to log keystrokes, record video, track GPS, or handle projects and client billing, ActivTrak won’t be the best fit.

Where do reviewers suggest looking elsewhere?

ActivTrak’s goal is to improve productivity, so it was easy to spot the poor fits in the reviews. You’re better off looking elsewhere if:

  • You want to pay monthly or might cut seats mid-year. Plans are annual-only, and you can’t downgrade until renewal.

  • You need forensic detail. ActivTrak doesn’t log keystrokes or record screens continuously, and it takes screenshots only when alarms trigger.

  • Your team works in the field or on phones. The agent runs only on Windows, macOS, and ChromeOS, and there’s no GPS tracking.

  • You run Linux desktops. There’s no native Linux agent. The ChromeOS agent works in Chrome on Linux but sees only the activity inside the browser.

  • You only need basic time tracking. ActivTrak ends up being too expensive for simple activity data, since you’re also paying for productivity tools and advanced analytics.

  • You bill clients by the hour. ActivTrak has no invoicing or billable rates, so teams that track billable hours need another tool.

If the last two describe your team, a dedicated time-tracking tool like TimeCamp will cost you less and suit you better. The free plan covers unlimited users, and you can upgrade to a paid plan once you start invoicing and billing clients. The Ultimate plan adds billing rates, labor costs, and timesheet approvals that larger teams might need.

TimeCamp doesn’t match ActivTrak’s workload balance or AI-adoption analytics, so the right pick depends on your team’s needs. If you’re comparing replacements, our ActivTrak alternatives guide covers them side by side.

ActivTrak reviews FAQ

Is ActivTrak good?

It’s good if you’re looking for advanced productivity analytics and don’t mind paying upfront for an entire year. It currently holds decent ratings on G2 (4.3/5) and Capterra (4.5/5) and receives praise for its workforce capacity reports and growing analytics capabilities. Auto-renewal and cancellation complaints drag the score down on Trustpilot.

How much does ActivTrak cost per month?

All plans are billed annually. The cheapest plan (Work Activity Tracking) starts at $10 per user per month, Workforce Management is $15, and Productivity Optimization is $17. The separate Workflow plan costs $21 per worker per month and is sold through ActivTrak’s sales team. There are also a few add-ons to consider (e.g., screenshots) that’ll likely add up to the final cost.

Is ActivTrak free, and what does the free plan leave out?

There’s technically a free plan, but it only covers 3 workers and comes with all sorts of limitations (e.g., no real-time visibility and 30 days of data). Start with the 14-day trial (it includes most features from the Workforce Management + Productivity Optimization bundle) and take it from there.

What does ActivTrak monitor?

It runs an agent that allows ActivTrak to check which apps and websites are active (and for how long), while also tracking clicks and mouse movement. The reports allow you to see active and passive time based on recorded data, and there are add-ons for on-demand screenshots and full URL information.

Can ActivTrak see my screen, and does ActivTrak take screenshots?

No, unless the Screen Details add-on is installed. Without it, an employer can only detect which sites workers visit and which apps they use, but they can’t see what’s on their screen.

Does ActivTrak record audio, keystrokes or mouse movement?

ActivTrak detects keystrokes and mouse movement to track active/passive time, but it doesn’t store data on what exactly is being pressed. Based on ActivTrak’s documentation, the agent doesn’t collect audio data either.

Can ActivTrak detect mouse jigglers?

Yes, it can detect the patterns associated with mouse jigglers or similar software. When that happens, the manager or administrator will receive a notification to investigate further.

Is ActivTrak spyware?

No. It’s employee monitoring software that employers install on company devices. It records app and website usage and activity levels, but it doesn’t log keystrokes or use the camera.

What do users complain about most in ActivTrak?

Buyers don’t love how ActivTrak only does annual contracts, while also making it difficult to cancel or downgrade down the line. Classification upkeep and the cluttered interface also come up often.

Track hours, bill clients

TimeCamp tracks project time automatically in the background and is free for unlimited users. Paid plans add invoicing, billable time, and budgets.
